What goes on an auto repair invoice.
Not every line is legally required everywhere, but a missing one is where disputes start.
- Shop identity
- Legal business name, address, phone, and your state repair-facility registration number where your state issues one. A customer disputing a charge to their card issuer will be asked who they paid.
- The vehicle, unambiguously
- Year, make, model, VIN and odometer at the time of service. The odometer reading is what makes a warranty claim provable later.
- Parts and labour, separated
- Quantity, description and price per part, and labour shown as hours against a rate. Several states require parts and labour to be itemised separately, and a customer entitled to their old parts back has to be told so.
- Fees, named
- Shop supplies, hazardous waste disposal, tyre disposal. A percentage-based supply fee should say what it is a percentage of. A fee labelled "misc" is the single most disputed line on a repair invoice.
- Authorisation
- Who approved the work, when, and for how much — including any change to the original estimate. Many states cap what you can bill above a written estimate without a fresh authorisation.
- Warranty terms
- What is covered, for how long or how many miles, and what voids it.
